TRC has its old / current website: www.therallyeclub.org
and its wiki (on which this page sits): www.therallyeclub.org/wiki
And now we have a new website, built on Google Sites so that
each page can be permitted for multiple people to edit using "what you see is what you get" tools.

Current Website Content
* Home ("ad" for upcoming rallyes and points to recent results)
* Calendar (info on upcoming rallyes and meetings), with 1-page flyer for each upcoming rallye
* What's a Rallye?
* Results
* Membership (how to join)
* Resources (rallye guide, 1-pager tips, timed rallye resources, external links, equipment, multimedia, RM resources)
* About Us (officers, appointed positions, official documents, meeting minutes)
* Shopping (for items with TRC logo or images).

Note that the old website has minutes, old documents pointed to by Resources, and lots of old results that the new website does not.

New Website Content
* Home ("ad" for upcoming rallyes and brief intro to the club)
* Calendar (info on upcoming rallyes and meetings), with subpages for each rallye
* What's a Rallye? (expanded from the old site's version)
* Results (from the most recent very few rallyes)
* Resources (rallye guide, 1-pager tips, timed rallye resources, external links, equipment, multimedia, RM resources)
* About Us (officers, appointed positions, official documents; membership should be here, too)
* "Buy TRC Stuff"(shopping for items with TRC logo or images).

Note that the new website is missing meeting minutes (as required).
The About Us page does not currently link to a membership form for joining or renewing by mail.

Why a new website?
The purpose of the new website is so that multiple people can update the information.
The old website had a single webmaster.
The new website allows any officer who wants to edit pages to be given permission to do so.

And if rallye masters wanted to create and update their rallye's announcement or results page,
they can do so personally.
For example, when the preliminary GIs exist, the rallye master could post them personally,
rather than emailing to the webmaster and awaiting his attention to post them.

Other Advantages of the New Website
The new website also has a new look, with a site-wide "bar" advertising the upcoming rallyes.
It also integrates with Google's calendar, which could allow people to easily add our events to their calendar.

Shall we Switch?
We should switch so that multiple officers--and potentially rallye masters, as well--can create and edit pages, keeping them current and helping to make them useful.

Conversion Plan
# Obtain and verify an address (such as old.therallyeclub.org) that can continue to reach the old website when www.therallyeclub.org is redirected to the new website.
## The marketing part of me wants a title other than "old", but "legacy" ain't much better. old.therallyclub.org now exists, but some more server reconfig is needed to change the rewriting rules - currently it normalizes things to www.
# Bring the new website up to date, so that it advertises 2 or more upcoming rallyes.
# Have the new website offer a membership form for by-mail renewal or link to old website's.
# Change the new website's references to the old website to use this new name.
# Scoop up all the wiki pages, so they can be parts of the new website.
# Redirect www.therallyeclub.org to the new website. Verify that browsing therallyeclub.org will find the new www.therallyeclub.org site. And verify that the top-level headings work.
## Looks like I (SteveW) don't quite have enough admin privs to change URLs on the sites pages, though. The DNS change is trivial, and can be done in seconds once someone makes the change.
# Move data from the old website to new website or to a shared Google Drive repository for display on the new website. In particular, old meeting minutes and old results need to be saved.
# Store the wiki snapshot in the new website, clarifying that some of the data is unofficial advice. Try to segregate wiki information based on how "official" it is. Permit former wiki pages to any club member who wants access. (Consider if we also trust some people, like Steve Watt and Ric Goldman, whether they are members or not.)
## I wouldn't trust those guys. Never know what trouble they might cause.
## Wiki snapshots easily done.
# Try to get rallye masters to help us maintain their information.
# Also get (from the old website or from Bill Jonesi) the table of TRC events, so we know when we hit our 400th event. Put that somewhere public on our website.
# Consider integrating our new website with our rallyist database, so officers can use it to obtain contact information for rallyists and rallye masters as needed. This information must not be public.
# If we ever want to decommission our old website, we need to scour the new website for links back to old materials and move them to the new site or to our shared Google Drive repository.

Steve: Updated available software.

When TRC does the printing, it is usually handled by Steve Watt <steve@watt.com>. Verify that he will bring the printout to the start or that you (or someone) can pick it up beforehand. If he prints your CMs, you pick them up together.

Standard Rallye Printing
Whoever prints should bring 40 copies of the rallye and critique to the start. Almost all of them will be stapled and numbered, and the last will be unstapled, available for a run up to Office Max if more than 39 cars register.

We now normally print 20 extra registration packets (without scoresheets) to sell for back seat passengers.

See below about coursemarkers and other printing.

Reimbursement
If you want to do your own printing on your own paper, TRC will reimburse at $0.05 for a "simplex" sheet with one printed side (typical of registration packets) and $0.09 for a two-sided "duplex" page (typical in a Critique). This is roughly cost for medium-duty laser printers; bulk copiers will be somewhat lower, small printers somewhat higher.

(When we print on TRC-purchased paper, we reimburse half a cent less: $0.045 for a simplex sheet and $0.085 for a duplex page. These rates started in January, 2012.)

Color
Some RMs have used color in registration packets, CMs, and Critique maps to great effect. If you want to be reimbursed more than the above rates, you need to get board approval beforehand. If this is used for gimmicks, this will "tip your hand."

Dean's place charges (in December, 2011) $0.39 for one-sided color copies in bulk, so maybe less than twice that for two-sided. Most places charge more (about $0.50). Standard ink-jet printing cost depends greatly on how much of the page is colored.

If you are printing in color, one way to keep costs down is to minimize how many pages are color (e.g., only the maps of the Critique and only 30 copies; remaining copies would be gray scale).

Document Transfer to Steve
The easiest way to handle the bulk printing is to E-mail two PDFs to Steve: One with the packet participants get at the start, one with the critique. I can also handle Word 2007 or earlier documents, but there is risk of formatting disagreement when using Office.

Make certain that your PDF creation software embeds any unusual fonts. If you're using any font that doesn't come with a default Windows installation, ask me if I have it.

If you can't create a combined PDF, I can probably do it, but you need to make sure that PDF font subsetting does not occur; again this is dependent on your particular PDF creating software.

Note that if you have special car numbers, colored paper, or other unusual requests, we can often handle them, but do ask more than a day or two ahead.

Minimum margins are 1/4" on the sides and bottom, and about 1/2" on top (though people prefer more, due to clipboards).

Coursemarkers
Steve can also print your coursemarkers, if you're willing to pick them up. I have a few ideas about how to create coursemarkers. Word format works fine for these, as the formatting is somewhat less challenging.

We now normally print coursemarkers on standard paper, rather than extra heavy stock. So TRC reimbursement rates are the same as those stated above. You may also be reimbursed for a duplicate set of CMs on standard paper, in case a CM is lost or destroyed.

Checkpoint Slips
When Steve is competing, he normally does not print checkpoint slips. This is because they usually need handling (small slips need to be cut apart), and one cannot perform that handling without seeing/reading them, and no competing rallyist should do so, that just wouldn't be fair.

Schedule
Please have your files ready by the Wednesday late-afternoon before the rallye (assuming a Saturday rallye). That gives me time to do the test run, and we can iterate if needed to make sure something printable comes out.

Printing for Mailings
We reimburse for mailings (which are generally quarterly, plus a membership election mailing at the end of the year) at the same rate. (See #Reimbursement section above.)
The mailing labels are reimbursed as well, at $.25 per page if you buy the labels, (standard) $.045 per page if TRC has already bought the labels.

I ran rallyes very regularly through 1991, at which point my rallye partner (an interesting character named Steve King) moved to Florida to continue his studies in meterology.

I ran a couple of rallyes solo, did miserably and didn't have much fun, so I stopped for a while. I'm investigating plugins to give us better flexibility on page protections. Clearly there are at least four classes of protection that are desired:
* Sysops only
* Page creator only
* TRC Board
* Registered users

We have the first and last by default with this software, but I think there's a way to do more. I don't want to lean heavily on sysop protection, because it creates work (possibly substantial, depends on the doc and the number of docs) for sysops.
----

The rallyemaster doesn't have much control over registration, so we shouldn't count that as part of the "best rallye" awards (although it may still be useful feedback).
It would be good to ask about the beginners school too, although we shouldn't expect upper division rallyists to answer that question.
And we shouldn't count it when someone other than the rallyemaster gives the class.

I like the idea of putting the questions in rough chronological order (i.e., moving scoring and awards presentation towards the end).

And as we mentioned last night, very few people can offer meaningful feedback on whether protests were handled fairly.
Perhaps a better indicator would be how often the protest committee overrules the rallyemaster.
- Dean

----

I recommend leaving the existing form alone, except for the changes to the "Length". 10 Categories is sufficient for the feedback that we need.

I am not sure if many rallyemasters use the form as it exists today as a vehicle to improve or change rallies. As a consequence, making changes to the form is likely not going to do much. If we add more categories, rallyists may be less likely to fill out the form.

A better use of time might be for rallyemasters to use the existing form to create a post-mortem of their event that includes 2 topics:

a) What worked well
b) What can be improved upon.

Such a post-mortem should be optional, but would be nice to include in the TRC minutes (if it is done).
What to Cut?
Okay, we've got 13 sections now. What do we cut/consolidate to get back to 10 (or fewer)?

Darin McGrew 18:20, 21 November 2007 (PST)

----

I think 13 sections and 15 easy-to-answer questions might not be too much, if it fits nicely on a half page.

- Dean

Using Incomplete Evaluations
I also propose that each question get scored by those who answer that question, so partial evaluations are used.

- Dean

If we include topics that not everyone will be able to answer, then we'll need
to do something reasonable with "incomplete" evaluations. So, how should we
handle the math for a rallye's total score while counting incomplete
evaluations?

It's easy enough to average the responses we get in each category, and it's
okay if some categories have more data points than others. But do we calculate
the total score by adding the average scores for each category? I can't think
of a better way, but this still seems clunky to me.

Darin McGrew 10:50, 28 November 2007 (PST)

Making Evaluations Useful
Personally, I don't find the evaluation forms useful, except for the comments written on them (in the margins, or on the back). The numbers are purely arbitrary, and apparently even our worst rallyes are well above average (the Lake Wobegon effect), since they score above a 5 in all categories.

Maybe it would be more useful to have a number of statements (e.g., "Traffic was not a problem.") and ask whether they agree strongly, agree somewhat, neither agree nor disagree, disagree somewhat, or disagree strongly? Or maybe we could use a 7-point scale: agree strongly, agree, agree somewhat, etc.

Darin McGrew 10:57, 28 November 2007 (PST)

I think this might be the best approach of all. It has the benefit of simplifying the questions, too. One of the complaints I've heard about the present eval card is that the questions cover slightly disjoint subjects, so the competitor has to average out things in their head.<br>- Steve 12:24, 2 December 2007 (PST)

Rallye Preparation
During preparation (writing) of the rallye, as you drive the route, select exactly which poles will be used for CMs.
It matters a lot whether the CM will be beyond an intersection or not, as the SUPP (or SI) may need to refer to the
1st OPP or the 2nd OPP.

Consider whether the pole will be lit by a street light (generally a good thing),
whether it is obscured by trees or other landscaping (generally a bad thing),
and from which directions the coursemarker will be visible.
Coursemarkers should be visible when driving by (of course), but usually not visible from the other side
(telegraphs its existence) or from the intersection at which a decision should be made.
Normally, a rallyist should have to decide what to do before seeing the CM(s).
Although sometimes, negative CMs are left more visible to sucker rallyists (a "big, juicy" CM).

Note that some types of poles are known to cause problems.
It may be best to avoid using neighborhoods with these kinds of poles:
* concrete poles, which make it difficult to attach coursemarkers reliably
* light poles with the light straight up above the pole (rather than offset from the pole by a horizontal support), because at night the light will be so bright that the nearby coursemarker won't be easily read.

Record what kind of pole it is, so you know how you'll need to attach the coursemarker.

Making Coursemarkers
Page Size and Layout
TRC coursemarkers are normally printed on 8&frac12; &times; 11-inch card stock.
You may wish to trim CMs to make them narrower, so they are less visible from the back of the pole.
If you trim some, but not all, of your CMs, then clarify in the GIs that a narrower or wider CM is not a gimmick.
Trained to be suspicous, rallyists will question any deviation from the sample CM(s) at the start.

Use a laser printer.
Coursemarkers printed on inkjet printers become illegible when the ink runs.

Set the font size "huge".
Something in the range of 300 points is a good starting place, but then you'll need to tweak because the best font size varies with the font.
(A standard 8&frac12; &times; 11-inch page is 612 &times; 792 points.)
Get as large as you can.
Most people don't realize how large street signs really are.

Set the margins very small, and be prepared to fiddle with the paragraph/line spacing.
Adjusting the letter spacing can help make double letters (especially "VV") easier to read.

Font Choices
Feel free to play around and come up with thematic fonts on your CMs.
It will add a nice touch.
Some important criteria are:
* Legible at a distance
** Wide stroke helps
** Serif fonts may help
** Busy display fonts (e.g., Old English) are hard to read
* Double-letters (especially WW, MM, OO, etc.) fit the page width
* Similar letters/numbers are easily differentiated
** 1, I and J (serif fonts may help)
** 0, O and Q
** VV and W (an extra space in "V V" helps, but shouldn't be necessary)

These fonts have worked well:
* Swiss 721 BT
* Goudy Extra Bold
* OCR-A Extended
* Copperplate

These fonts have worked OK, but not great:
* New Century Schoolbook (strokes are too light, VV runs into W space)
* Helvetica (strokes again too light, no serifs make distinguishing some letters harder)
* Helvetica Narrow Bold (VV and II look better with a space between the letters, I has no serifs and could be a 1; however WW fits the page even at 360pt)
* Comic Sans (some characters came out funny, but I don't remember what)

Some fonts that give trouble:
* Gill Sans (1, I indistinguishable in some larger sizes)
* Arial (ditto)
* Various weird titling fonts for various reasons

Open Office Spreadsheet
Using free StarOffice/OpenOffice (from OpenOffice.org),
Dean used a spreadsheet with two columns:
one for the the letters and one for the numbers.
Both were in 96-point (the largest available) bold
and both used Vertical orientation Middle,
and both used text direction 90 degrees (so V looked like >).
The letters used Horizontal orientation right.
The numbers used Horizontal orientation left.
Ideally, the CMs are produced in marker visitation order.

Dean then set the Page Format (Sheet Tab) to
Scale choice "reduce/enlarge printout" at the maximum
size that fit on the page (about 300%).
Enabling View->Page Break Preview allows easy confirmation
that only one marker will print on each page.

Alternatives
Before laser printers, TRC coursemarkers used paper plates.
Lettering was applied by hand using permanent markers.
Markers were used with stencils to avoid problems with illegible handwriting.
Using paper plates still works, and gives a rallye a "retro" feeling.

Other theme-related designs (e.g., giant playing cards) can work, too.

Reflective Tape
By TRC convention, every rallye-posted sign includes reflective tape.
(This tape is normally <font color=red>red</font>; if the GIs require red, other colors could be a gimmick.)

If the rallye will be run entirely during the day, TRC's board might waive this requirement upon request.

Posting Coursemarkers
Before the rallye, the RM and an assistant normally drive the route erecting all the CMs.
It is helpful to have a list of CMs in visitation order, which typically differs a bit
from rallye (critique) order. The non-driver normally applies duct tape to the back of
markers prior to arrival at the pole. Using the list of pole types, the non-driver can
avoid taping CMs destined for wooden poles, as they are easily stapled.

Staples on Wooden Poles
On a wooden pole, staple the marker using a staple gun "marker parker".
Though there is a small piece of metal strap that could hold the marker
during stapling, you may want a small loop of duct tape to stick the
marker first, and then staple it. Stapling requires a forceful blow
with the staple gun, which can make it difficult to simultaneously accurately
place the marker.

Duct Tape Loops on Metal Poles
Duct tape loops work well on most poles. Orient the loops so the open ends
are at the top and bottom, to ease removal (with the weed puller tool).
A narrow duct tape loop in the center of the marker fits over the weed
puller. Orient the marker so the duct tape loops are away from the paint
roller. Use the weed puller to stick the marker in the correct place.
If necessary, adjust its angle a little. Then turn the marker parker around
and roll the CM firmly against the pole. Work from the center out or from
one side to the other, so the CM will lie flat against the pole. The
dual-roller tool presses markers better. The gap between the rollers
helps keep the tool centered on the pole, rather than slipping to the side
of the pole, as the single-roller does.

Darin has wrapped an old towel around the end of an extension pole, and used it to wipe dust/dirt/rain off the utility pole before attempting to stick the marker.
Another (untested) alternative might be to use a dry sponge mop.

Note that the quality of the duct tape will make a big difference.
The adhesives in cheap duct tape don't hold coursemarkers as securely as the adhesives in good duct tape.
The adhesives also deteriorate with age, so it probably isn't worth using that roll of duct tape that's been sitting in your garage for a decade or two.
A new roll of good duct tape is cheap insurance against problems with coursemarkers coming down during the rallye.

Good Luck on Concrete Poles
On concrete poles, duct tape is not reliable.
If you try using duct tape on concrete poles anyway, then cover the entire back of the coursemarker with loops of duct tape.
Press the coursemarker against the pole with the roller only once;
rerolling seems to work the duct tape loose, rather than sticking it more firmly.
Then check the CM after mounting all CMs, and assure someone (with equipment to handle a failure) will recheck the CM at the start of the rallye.
It often helps to have the duct tape loops run in alternate directions; horizontally at top and bottom, and vertically in the center.

More reliable techniques wrap something all the way around the concrete pole:
* wrap clear packing tape around the coursemarker and the pole (both at the top of the CM and at the bottom)
* apply a few loops of duct tape to the back of the coursemarker (as with metal poles), but wrap a long cable tie (aka "zip tie") around both the CM and the pole to keep the CM from peeling away from the pole
* staple the coursemarker to a wooden paint stirrer (or similar inexpensive stick), then secure the stick to the pole with tape or a cable tie
Note that these techniques require a step stool or ladder, otherwise you will not be able to mount the coursemarkers out of reach of passers-by.
Using a ladder is slower than using our normal coursemarker tools on extension poles.

In theory, the cable tie could be looped around the pole,
then raised into place using a pole, then pulled tight
(perhaps with a binder clip or vice grips on a pole?).
Has this theory been tested?
(Suggestions for improved coursemarker tools are welcome!)

Coursemarker Posting Technology
Periodically, the idea surfaces to manufacture some manner of device for holding CMs to poles.
The basic requirements for such a device make it quite a challenge to design:
* It should work with poles from 8" diameter to about 16", including tapered and scalloped poles
* It should be easily placed and removed
* It should not "walk down" the pole by itself
* The unit must be reasonably cheap
* Preferably reusable (if not reusable, must be < $1 each)

Ideas that have been floated:
* Large over-center spring clamps with rubber inside the clamps and some manner of release mechanism, perhaps requiring a special device for removal.
* A rope and sharp stick design that can be walked up the pole with the marker parker and removable by simply lifting the sharp stick.
* Huge, chained-together tie-wraps

Each of these has its advantages and disadvantages, and may have been prototyped at one time or another.

Steve has been known to completely wrap clear tape around the pole, up at the end of the extensions, using both the parker tool and the ripper. It's time-consuming, but does work.

Removing Coursemarkers
Most markers can be removed with the narrow weed puller tool.
Angled away from the pole (to avoid scratching the pole or scraping its paint), you can usually get the weed puller through the center of the duct tape loops, and pry them away from the pole.

The weed puller, angled toward the pole, will probably remove staples and stapled markers.

The cultivator (claw) is the last resort for pulling down reluctant markers.
Some think it works better for quickly removing taped-on markers, as you don't need to get underneath the tape loops at all -- grab the top and yank.

Obviously, TRC wants no markers or shreds of markers left behind as litter, nor loops of tape left stuck to poles.
A disposable box is a good waste receptacle in the car for the paper shreds and duct tape mess.
A garbage bag works well, also.

TRC Accounting Rules

Steve: Add monthly reporting.

TRC Accounting Rules
This is a draft statement of the rules and requirements for the TRC Treasurer budgeting process and monthly accounting.

Budgeting
With the Bylaws amendment from 2006, the requirement was added that TRC go through an annual budgeting procedure.
The most effective way to implement this is to subdivide revenues and expenditures into various categories, figure out what the revenues and expenditures will look like month-to-month based on reasonable assumptions, and then keep track of actual revenues and expenditures and report them to the Board on a monthly basis.
Note that it is important to keep track of whether revenues come from members or non-members to comply with the 501(c)(7) requirements on how much revenue may come from non-members.

Revenue Streams
The basic revenue streams are:
; Memberships
: The membership fee charged to each member
; Member entries
: Members who run a rallye
; Non-member Entries
: Non-members running a rallye

Expense Streams
As always, there are many more expense streams than revenue streams.
It feels like that at home, too, doesn't it?
; Awards
: TRC gives out awards at each rallye, this is where they're accounted.
; Donation
: TRC will, from time to time, make donations to various charities. Examples include the Toy Rallye if someone gives us a cash entry instead of a toy or makes an additional donation, or (new this year), the Board decided to donate the proceeds from Monster Mash 2007 to the Breast Cancer 3-Day.
; Equipment
: Upkeep of the marker tools, timed checkpoint kits, and other such equipment.
; Fees
: PayPal charges a fee for accepting payments over their service. Any other fees relating to revenue should go here as well.
; Gasoline
: This may become "Vehicle Expenses" for the 2008 budget. TRC will reimburse (FOB Larry's Auto Works?) for expenses incurred while creating a rallye.
; Insurance
: Our single-largest expense item. Each event must have at some amount of general liability, determined by the board.
; Legal
: Legal filing fees, almost always paid to the CA Secretary of State for the various biennial statements. Should the need arise for TRC to retain counsel, this would be the place to expense it.
; Misc
: Everyone's got a misc budget line. This is $20 per rallye that can chalk up strange expenses (for example replacing a worker's clothing that was damaged at a CP by a required item).
; Office
: Mailing labels, card stock for CMs, pens, staples, duct tape, etc.
; Par Plaques
: Expenses related to the creation of the participation plaques. Usually the magnets and other special supplies. Printing for the par plaques should probably go here, rather than "printing".
; Postage
: Self-explanatory.
; Printing
: Because a large chunk of TRC expenditures are on printing, this is a separate item from office. The printing reimbursement rate covers paper and toner for a high-end desktop printer. Higher-volume devices will be less per page, lower-end more.
; Promotional
: TRC does various giveaways throughout the year, including the membership rallye items, TRC 25th Anniversary jackets, and the like.
; Refund
: $2 per rallye to potentially refund to an entrant that wants their money back for whatever reason.
; Revenue Sharing
: The TRC Board may agree to share revenues with rallyemasters for their events. This needs to be arranged well in advance.

Monthly Reporting
In addition to an update on the budget and how the club is tracking to the forecast, the monthly report includes:
* A summary of cash on hand, including the checking account, PayPal account, and cash in the start box, at both the start and end of the reporting period.
* A summary of revenues during the reporting period, broken down by source
* A summary of expenses during the reporting period, broken down by payee
* A listing of expected or outstanding upcoming expenses (for example, a rallyemaster who's not claimed expenses yet, or that the annual insurance renewal is coming next month)

Back when these were telephoned in, the best time to call was a day or two before the event, which gave the PD enough time to get it into the beat information for the swing shift briefing, but not so long that it would fall off the list of things to stick into the beat info.
SUBJECT: Gimmick Car Rallye Saturday evening in Mountain View
There will be a public Gimmick Car Rallye this Saturday evening (Oct.
6, 5 to 10 PM) in Mountain View, as a benefit for cancer research.

A gimmick rallye is nothing like road racing. It is similar to a
scavenger hunt using street signs. There will be a couple dozen cars
driving through the neighborhoods I'm using. The basic route is:
(from 101 and Mathilda): Almanor Ave, Mary Ave, Maude Ave, Clyde Ave,
Fairchild Ave, Tyrella Ave, Flynn Ave, Whisman Rd., Ellis St.,
Middlefield Rd., Whisman, E Dana St., Calderon Ave, Church, View St.,
W Dana St., to Castro. There will be a "checkpoint" on Easy Street
along Whisman Park from 7:30 to about 9:00 PM Saturday, where cars
will stop along the curb for a few minutes.

You might get a report that "suspicious" cars are driving slowly or
parking with interior lights on [to read instructions], reading street
signs, and then starting off again, perhaps making U-turns or
circling around the block to "try again".

I'm sending you this email so that you will know what we're doing and
may reassure any callers near this route.

Steve: /* Removing Coursemarkers */ Fix word choice, add some opinion.

Right Sizing
OK, I have a draft rallye. Is it about the right size? Here are rules of thumb:
* two "alphabets" of CMs (52 CMs max).
* 28-35 good CMs (full-credit + partials).
* 20 to 35 RIs are typical, but this count is no proof the length is right.
Driving the entire route to "read" every CM pole (both the good and the bad CMs)
will take something like as long as actually running the rallye. If this drive
is already too long, the rallye is too long.

Font Choices
Periodically the question comes up about fonts to use for CMs. Feel free to play around and come up with thematic fonts on your CMs -- it'll add a nice touch.

The important criteria are:
* 1, I and J look different
* 0, O and Q look different
* VV should not need a space to differentiate from W (but sometimes does)
* Wide stroke (legible at a distance)
* Double-letters (especially WW, MM, OO, etc.) fit the page

Some people prefer, because they're easier to read:
* Serifed (tends to go with 1, I, and J being well differentiated)

Successful fonts that have been used are:
* Swiss 721 BT
* Goudy Extra Bold
* OCR-A Extended
* Copperplate

Things that have worked OK but not great:
* New Century Schoolbook (strokes are too light, VV runs into W space)

* Helvetica (strokes again too light, no serifs make distinguishing some letters harder)
* Helvetica Narrow Bold (VV and II look better with a space between the letters, I has no serifs and could be a 1; however WW fits the page even at 360pt)
* Comic Sans (some characters came out funny, but I don't remember what)

Some fonts that give trouble:
* Gill Sans (1, I indistinguishable in some larger sizes)
* Arial (ditto)
* Various weird titling fonts for various reasons

General Layout
Set the margins in your document small, and be prepared to fiddle with the paragraph/line spacing. The font size is "huge". A standard 8.5"x11" page is 612 points across and 792 points down. The exact font size to use varies substantially with the font, though. Something in the range of 300 points is a good starting place, and then you'll need to tweak.

Get as large as you can. Something most people don't realize is how large street signs really are.

Open Office Spreadsheet
Using free StarOffice/OpenOffice (from OpenOffice.org),
Dean used a spreadsheet with two columns:
one for the the letters and one for the numbers.
Both were in 96-point (the largest available) bold
and both used Vertical orientation Middle,
and both used text direction 90 degrees (so V looked like >).
The letters used Horizontal orientation right.
The numbers used Horizontal orientation left.
Ideally, the CMs are produced in marker visitation order.

Dean then set the Page Format (Sheet Tab) to
Scale choice "reduce/enlarge printout" at the maximum
size that fit on the page (about 300%).
Enabling View->Page Break Preview allows easy confirmation
that only one marker will print on each page.

Rallye Preparation
During preparation (writing) of the rallye, as you drive the route, select exactly which poles will be used for CMs.
Consider whether it will be lit by a street light (generally a good thing) and its visibility:
it should be visible when driving by (of course), but usually not visible from the other side
(telegraphs its existence) or from the intersection at which a decision should be made.
Normally, a rallyist should have to decide what to do before seeing the CM(s).
Seeing a CM should not influence decisions about what to do.
It matters a lot whether the CM will be beyond an intersection or not, as the SUPP (or SI) may need to refer to the
1st OPP or 2nd.
Sometimes, negative CMs are left more visible to sucker rallyists (a "big, juicy" CM).

Record whether the selected pole is wooden.

A dry sponge mop might be used to wipe dust or dirt off the pole
before attempting to stick the marker. This has not been tested.

Good Luck on Concrete Poles
On concrete poles, duct tape is not reliable.
If you try using duct tape on concrete poles anyway, then cover the entire back of the coursemarker with loops of duct tape.
Press the coursemarker against the pole with the roller only once;
rerolling seems to work the duct tape loose, rather than sticking it more firmly.

In theory, the cable tie could be looped around the pole,
then raised into place using a pole, then pulled tight.
Has this theory been tested?
(Suggestions for improved coursemarker tools are welcome!)

Ah, a tricky question. My first gut reaction was one of the Creative Commons licenses (perhaps attributed + no commercial), but I'm leaning towards (gasp!) a more conventional restricted-use copyright. My thinking is that we may want to control the content somewhat more aggressively (perhaps after a recent aggressive email encounter).

On the other hand, having the content under a looser copyright could allow more spread of the concepts and encourage the sport. Perhaps a FreeBSD doc license would accomplish the same.
And we probably ought to be having this discussion in Talk:Project:Copyrights, but it's here, now.
Personally, I prefer using whatever case would normally be used in the middle of a sentence. That makes it easy to add inline links. (Likewise, I prefer singular words in titles, since it's easy to make most of them plural by adding an s/es at the end of the inline link.)

But I've also used other conventions, including an odd one that is enforced by the wiki software: Article titles cannot contain spaces, and use CamelCaseWords. Furthermore, any CamelCaseWords are assumed to be article titles, and are automatically linked. (This is a hassle for those of us with CamelCaseLastNames.)

I seem to prefer Title Case (not CamelCase) for article names, but then I frequently use alternate text for links, as well.

Setting Up the Computerized Scoring System
If you want to use the computerized scoring system during your rallye to score and/or after the rallye to create
the results the following needs to be done.

Before the rallye
# Go to http://www.ipidooma.net/rallye/index.php and create a new rallye.
# Follow the directions on the following screens to complete the scoring profile for your rallye.
# Once the scoring profile is created precheck it carefully. A recommended precheck is covered in Scoring System Precheck.
# If you plan on using the system to score during the rallye contact Nick or Teresa Stefanisko 1 week prior to the rallye so they can ensure the rallye laptop is charged and ready the night of the rallye. If you wish to instead use your own laptop to score the rallye contact Nick or Teresa for the requirements to run the system.
# Once the scoring system is finalized contact Nick or Teresa so that they can download it to the rallye laptop. Once the system is downloaded do not make changes on-line unless you contact Nick or Teresa first. If you are using your own laptop instead of the rallye laptop you will need to export the file and import it on your laptop.

Night of the rallye
# At the start Nick will transfer the laptop to you and explain set up and start up.
# When doing the scoring if it is slow you can enter all information off scoresheets; car number, class, names, and clubs, but if there is a pile of scoresheets waiting to be scored it is recommended that you only enter car number, class and if they are TRC members.
# Once awards have been handed out Nick and Teresa will take the laptop and upload the rallye information to the website so results can be printed.

After the rallye
# If you didn’t use the system to score the rallye you can use it post rallye to get your results printed. First you will need to set up the scoring profile.
# If you did use the system for scoring once the file has been upload Nick or Teresa will contact you and let you know that it is available.
# Next, you will need to enter any information that wasn’t entered the night of the rallye.
# Once all information is entered you can click on “Results” and you will get a page that you can copy & paste into a text editor.
# If you want to include the stats of the rallye you can click on “Stats” and copy paste them into the text editor as well.
# After creating your results file you will email the results to all contestants, TRC-EVENTS and to Dave Graubart. (Dave will post them to the TRC website.)

Scoring System Precheck
After the scoring profile has been created the following precheck should be completed by the rallyemaster and
at least 1 other person. The scoring system should be configured and prechecked no less then 48 hours prior
to the event. If at any time there are corrections to the scoring system it needs to be completely rechecked by
the Rallyemaster and the prechecker.

# Compare scoresheet with screen and verify they match.
# Mark all of the CMs and CPs and hit score. Double check that all impossible combos and prerequisites are correct.
# Mark each impossible combo and prerequisite and click score to verify correct scoring.
# Hit score with no CMs or CPs marked. Verify that the finish points are correct or that no score is given for this.
# Enter what you think is a perfect rallye and hit score. Verify that the total points are correct.
# Enter no less than 5 samples containing a variety of situations and verify score against a hand score of the same sample. Each prechecker should enter 5 unique samples.
